Information Management Officer Job Descriptions

This is the entry and training grade for this cadre, an officer at this level will work under the guidance of a senior officer.

Duties and responsibilities at this level will entail:

1. Receiving, sorting, opening, date stamping,  recording, capturing, distributing, retrieving, filing, folioing, shelving, minuting of mail;
2. Ensuring proper handling of documents, pending correspondence and bring-up;

• Ensuring security of files and documents;

1. Ensuring storage of files and
2. Scanning and uploading records onto Integrated Public Records and Information Management System (IPRIMS);
3. Ensuring that letters are appropriately filed and marked to action officers;

• Maintaining files and records;
• Managing file movement;

1. Dispatching mail including maintenance of related registers;
2. Undertaking periodic file census;
3. Undertaking cross referencing;

• Updating and maintenance of records;
• Labelling storage facilities and locations;
• Undertaking regular inventory of records; and

1. Ensuring safe and conducive working environment

Information Management Officer Job Specifications

For appointment to this grade, an officer must have: –

1. Bachelor’s Degree in any of the following disciplines: Information Science and Records Management, Information Management, Library and Information Sciences, Business Information Technology, Information Studies or equivalent qualifications from a recognized institution; and
2. Proficiency in computer

The        Successful          candidates          will         be           required               to           submit   the               following documents;

1. a) Certificate of clearance from Directorate of Criminal Investigations (DCI)
2. b) Certificate of Clearance from the Higher Education Loans Board (HELB)
3. c) Tax Compliance Certificate from the Kenya Revenue Authority (KRA)
4. d) Duly filled and stamped self declaration/ clearance form from the Ethics and Anti Corruption Commission (EACC)

The  self  declaration  form,  Ethics  and  Anti-Corruption  Commission  (EACC) should indicate the position for which declaration is being submitted.

Only shortlisted candidates shall be contacted and invited for interview.
